Job Summary
As the Document Control Supervisor- you will be responsible for sending-
receiving- distributing- circulating- tracking- expediting and archiving all
official project documents to- from and within the Company. The role will be
responsible for document quality as it pertains to formatting- clarity and
spelling. You are highly motivated to find improvements in our document and
data managements systems.
The Intermediate Document Control Supervisor is responsible for the
implementation and management of the selected Electronic Document Management
System (EDMS)- while providing the supported projects and company with qualit

assurance measures.

Responsibilities:

Create and maintain Document Management Systems including library
distributions and participant matrix.

Ensure document control function is being performed in accordance with
corporate procedures and project requirements in a timely and efficient manner

Organize all Data and Document Control deliverables and activities as defined in the project management plan and monitor timely delivery of these deliverables

Facilitate flow of information and communication between clients – vendors- subcontractors and staff; expediting deliverables

Organize necessary filing and archiving of technical documents

Manage and coordinate documentation processes and storage into the DMS system by all internal and external parties.

Track the submissions and returns of critical documents throughout the entire
project

Compile required information for turnover of final document package

Manage and maintain Company templates and information on server

Drive improvements and efficiencies in our data management systems & processes

Participating in other project document control initiatives or data management tasks under the direction of the Project Controls Manager.

Assist in creating/implementation and auditing of a reporting system to track
all documentation deemed critical by the project from inception to close-out.

Ensure Document Management integrity. Lead all process development and direct
technical staff.

Other project support as required.

Minimum Requirements

At a very minimum- BA/BS + 6 YORE or if candidate doesn|t have a degree-
demonstrated equivalency of experience and/or education will be considered.

Preferred Qualifications

Excellent communication skills to effectively communicate with all staff at
all levels- clients and external vendors.

Experience in working within a team with ability and willingness to share learning.

Ability to anticipate needs and work independently with minimal supervision

Ability to problem solve independently

Strong organization skills with an attention to detail

Highly effective at meeting deadlines and working with tight schedules in a changing environment

Ability to multi-task many priorities- interpret and implement process- procedures- workflows and standards.

Ability and flexibility to quickly learn other software tools as requiredand
the Ability to document work tasks (work instructions).

Experience with Technical Document Control software (e.g. ProjectWise- Aconex-
Proliance) an asset.

Advanced computer skills (MS Word- Excel- PowerPoint- Access- Adobe and
Outlook)

Proficient in Technical Document Control software and electronic file management such as; with Aconex- SharePoint- ProjectWise- Proliance- EDMS or other document management systems.

Either have experience in configuration management or a document control
environment;
